This privacy policy explains how Square Mile Sport Services Limited, trading as Team Marathon ("Team Marathon", "we", "us" or "our"), collects, uses and protects your personal information when you visit teammarathon.com, register for one of our events, or otherwise interact with us.
We are the data controller responsible for your personal information. We are committed to protecting your privacy and handling your data in line with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

The information we collect. We collect and process the following categories of personal information:
Identity and contact data. Your name, email address, phone number, postal address, date of birth, gender and emergency contact details.
Registration and event data. The team you are part of, your race or leg allocation, ticket type, t-shirt size, dietary requirements, accessibility needs and any medical information you choose to share for safety purposes.
Payment data. When you buy a ticket, payment is handled securely by our ticketing and payment partners. We do not store your full card details on our systems.
Marketing and communications data. Your preferences for receiving marketing from us and your communication history with us.
Technical and usage data. Your IP address, browser type, device information, and information about how you use our website, collected through cookies and similar technologies.
Social and engagement data. Information you share when you interact with us on social platforms such as Instagram and TikTok.
How we collect your information
We collect information in three main ways. You give it to us directly when you register for an event, sign up to our mailing list, fill in a form or contact us. We collect some information automatically through cookies and analytics when you use our website. We also receive information from third parties, such as our ticketing partner when you complete a registration.
How we use your information and our legal basis. We only use your personal information where the law allows us to. The main legal bases we rely on are:
To perform our contract with you. We use your identity, contact, registration and payment data to process your entry, manage your participation, communicate essential event information and provide customer support.
For our legitimate interests. We use technical and usage data to run, improve and secure our website, and to understand how our marketing performs, in a way that does not override your rights and interests.
With your consent. We send marketing emails and use non-essential cookies only where you have given consent. You can withdraw your consent at any time.
To comply with a legal obligation. We may process and retain information where we are required to do so by law, for example for tax, accounting or safety purposes.
Marketing communications
If you opt in, we use Klaviyo to send you email updates about Team Marathon, including event news, registration reminders and offers. Every marketing email includes an unsubscribe link, and you can opt out at any time by clicking it or by contacting us. Opting out of marketing does not stop essential service messages about an event you have registered for.
Cookies and analytics
Our website is hosted on Squarespace, which uses cookies that are necessary for the site to function. We also use analytics and advertising cookies to understand how visitors use our site and to measure our campaigns. This includes the Meta Pixel, which helps us measure and improve our advertising on Facebook and Instagram.
You can control non-essential cookies through the cookie banner on our website and through your browser settings. Blocking some cookies may affect how the site works for you.
Who we share your information with
We do not sell your personal information. We share it only with trusted partners who help us run Team Marathon, and only for the purposes described in this policy. These include:
Let's Do This. Our ticketing and registration partner, which processes your entry and manages bookings on our behalf.
Stripe. Our payment processor, which securely handles card payments made through our ticketing partner.
Meta Platforms. Which provides advertising and measurement tools for our campaigns on Facebook and Instagram.
Squarespace. Which hosts our website.
We may also share information with professional advisers, or with authorities where we are required to do so by law, or to protect the safety of participants at our events.
International data transfers
Some of our partners, including Klaviyo, Squarespace, Stripe and Meta, are based outside the United Kingdom. Where your information is transferred outside the UK, we make sure appropriate safeguards are in place, such as the UK International Data Transfer Agreement or equivalent approved contractual protections, so that your data receives an equivalent level of protection.
How long we keep your information
We keep your personal information only for as long as we need it for the purposes set out in this policy. Registration and transaction records are kept for as long as is necessary to run the event and to meet our legal and accounting obligations. Marketing data is kept until you unsubscribe or ask us to remove it. When we no longer need your information, we securely delete or anonymise it.

Children. Our events and website are intended for adults. Where participation by anyone under 18 is permitted, we require the consent of a parent or guardian. We do not knowingly collect personal information from children without that consent.

Our website and communications may contain links to other sites, including our ticketing partner and social platforms. This policy does not cover those sites, and we encourage you to read their own privacy policies.

We may update this policy from time to time. When we do, we will change the "last updated" date at the top of this page, and where the changes are significant we will let you know directly.
